PRESIDENT

  • Oversee the affairs of all elements of the League. The President should be the most informed officer of the league, knowing the regulations under which the District and League operates.
  • Call and preside at all meetings of the League; appoint committees; and perform all duties the office may require.
  • Cast the deciding vote in case of a tie vote among the representatives. The President cannot vote twice, once as a member, then again in his capacity as president - first to make a tie and then cast the deciding vote.
  • Be a key contact for all coaches, parents and players for areas of concern and dispute within teams, the league or the district.
  • Retain codes for the shed and lights.
  • Take on an additional sub-role per opportunities below.

VICE PRESIDENT

  • Perform duties of the President in his/her absence and all duties the Vice-President office requires.
  • Represent the League in the County organization, including attendance at County meetings, etc.
  • Take on additional sub-role per opportunities below.

SECRETARY

  • Create and distribute agendas for board meetings, parent/player meetings
  • Keep and record as a permanent record the minutes of the League meetings
  • Notify the representatives of each meeting; schedule on calendars
  • Notify all officers of their elections, and shall perform all other duties the office may require. 
  • Distribute minutes of the monthly meetings to League officers and community representatives within one week of meetings.
  • Maintain the Google drive and files of documents and papers of the organization.
  • Update by-laws when needed.

TREASURER

  • In the absence of both the President and Vice-President, the Treasurer shall preside at any meeting of the League, and shall assume and perform all duties as may be required. 
  • Maintain all financial records and budgets for recreational and competitive leagues as appropriate.
  • Report monthly to the Board the major transactions, expectations and balances of all accounts.
  • Receive and keep the League funds in a bank selected by the Executive Committee.  All expenses of the League are to be paid by check bearing signature of the President, Vice-President or Treasurer. 
  • At the November meeting, submit following year budget for review and approval.
  • At the November meeting, submit a financial statement and a statement of receipts and disbursements to the membership. All such reports and statements shall become part of the permanent records.
  • Manage the GGSA web domain and domain registration in the GoDaddy account. 
  • Maintain all records for the post office, bank, insurance, and other financial-related accounts.

PLAYER/TEAM COORDINATOR

  • Coordinate, update and maintain the online registration process.
  • Update all past players and coaches when registration is available.
  • Work with the Marketing Manager for distributing information via the website and social media
  • Contact all scholarship players regarding details.
  • Create team rosters.
  • Ensure league rosters are maintained and submitted to the County.
  • Be responsible for checking birth records and eligibility of all players
  • Coordinate the transfer of players between divisions and leagues.
  • Represent the League in the County organization, including attendance at County meetings, etc.
  • Coordinate ordering of jerseys and other uniform needs with players.
  • Order and distribute all uniforms for players and coaches
  • Work directly with uniform provider
  • Get samples of styles and sizes from uniform provider for display at parent/player meeting
  • Once shirts are in, coordinate with coaches to set up a date and time for pick up.
  • Maintain TeamSnap, including emailing coaches, parents and players with information and updates as well as maintaining team store.
  • Issue emails appropriate to registration and operations
  • Receive emails sent to the Board email address.
  • Collect and manage fees; provide updates/reports to the Treasurer.
  • Coordinate budget needs with Treasurer including submitting estimated needs for following year by October 25of each year.

COMMUNICATIONS AND MARKETING MANAGER

  • Keep the website updated with content and events, maintaining the home page at www.goldengirlssoftball.com, ensuring that League news and scores are updated on a regular basis.
  • Support League MailChimp account and send emails to mailing list as needed.
  • Maintain and coordinate the League’s social media accounts (Instagram and Facebook), including posting League news, scores, photos, and other fun, relevant posts, as well as answering any posts and questions (or finding appropriate answers)
  • Create and distribute flyers to schools for recruitment and registration.
  • Issue and analyze post-season survey.
  • Get banners printed as needed.
  • Coordinate and purchase swag and promotional materials.
  • Submit draft budget for website fees and other communication needs for Treasurer by October 25 of each year.

COACH COORDINATOR

  • Oversee all Coach activities including programs and development opportunities.
  • Represent the League in the District organization, including attendance at District meetings, etc.
  • Institute and update all coaching materials such as manuals and training materials, sample practice plans, tips, codes of conduct, and rules. Maintain Coaches section of Google drive.
  • Be responsible for conducting and coordinating all background checks and concussion training for Coaches and Assistant Coaches, including submission of confirmations to Google drive.
  • Act as the main contact for coaches, keeping email and phone contacts updated, and disseminating timely information.
  • Develop agendas for and run Coaches’ meetings 2-3x/year.
  • Submit draft budget for following year to Treasurer by October 25 of each year.

FIELD SCHEDULER

  • Maintain relationship and contact with City of Golden Athletic Supervisor. Ask questions as needed about field maintenance, etc.
  • Procure fields for games and practices from the City of Golden and other areas as necessary.
  • Allocate field time to teams for practices.
  • Create the schedule of rec and competitive practices and rec games as pertinent to Golden fields.
  • Communicate with coaches field schedule assignments, updates, and changes.
  • Schedule/reschedule rec league games for GGSA.
  • Be the contact for coaches with field issues.
  • Retain codes for the shed and lights.
  • Maintain volunteer scheduling for helping coaches at practices
  • Maintain relationship with indoor facility and coordinate schedules for teams (not individuals) as needed.
  • Update/report to budget to Treasurer. Coordinate budget needs with Treasurer including submitting estimated needs for following year by October 25 of each year.

EQUIPMENT MANAGER

  • Responsible for the upkeep and maintenance of all player equipment; ensure equipment that has exceeded its life expectancy is replaced.
  • Organize equipment into age/team-specific lists/packages.
  • Order all equipment
  • Secure game balls, scorebooks and line-up cards before start of each season.
  • Maintain inventory of all equipment in the shed and with each Coach; submit inventory list to Board at end of each season. Catalog materials that are no longer usable and recommend what to do with them.
  • Coordinate distribution of equipment and bags to Coaches at the beginning of the season
  • Coordinate to receive all equipment and bags from Coaches at the end of the season; ensure all equipment is returned and accounted for.
  • Attend practices at beginning and mid-season to ascertain any additional needs.
  • Report updates to Secretary by 25th of each month.
  • Attend necessary Board meetings (2-3x/year, including November annual meeting).
  • Submit draft budget for equipment for future year to Treasurer by October 25 of each year.

EVENTS MANAGER

  • Manage event selection, League participation, and player participation including events like the JeffCo Rockies game, Buffalo Bills Days Parade, Olde Golden Christmas Parade, end-of-season party (Splash)
  • Work with coaches on team-building activities and events.
  • Report updates to Secretary by 25th of each month.
  • Attend necessary Board meetings (2-3x/year, including November annual meeting).
  • Submit draft budget needs for future year to Treasurer by October 25 of each year.

SPONSORSHIP/FUNDRAISING MANAGER

  • Solicit sponsorships.
  • Contact and maintain relationships with sponsors.
  • Responsible for ordering and distributing sponsorship plaques to sponsors at season completion.
  • Responsible for ordering sponsorship signs (as appropriate).
  • Coordinate with Treasurer to make sure all sponsorship are paid.
  • Coordinate selection of and participation in fundraising activities.
  • Report updates to Secretary by 25th of each month.
  • Attend necessary Board meetings (2-3x/year, including November annual meeting).
  • Submit draft budget needs for future year to Treasurer by October 25 of each year.
